This position requires customer service at the highest level and collaborates with members of the Development Office and the Office of Advancement to positively impact the overall advancement effort. This 100% time, 12 month position is classified as 1885, Executive Office and Administrative Specialist and is represented by the AFSCME Clerical union. Development and Alumni Relations Support (70%) Arrange donor/prospect meetings, events, and visits, and compile materials to prepare Chancellor, Chief Development Officer, and Development Officers Provide assistance to Chief Development Officer, Development Officers, Chancellor, Vice-Chancellors, and other campus partners for Development-related travel, events, and projects. Responsible for related purchasing and reconciliation Provide support for CDO including managing schedule, review upcoming activities and anticipate needs Campaign coordination, including events, meetings, infrastructure, and materials Compose and/or prepare presentation materials, proposals, and other communications for internal and external audiences Undertake varied research - based on donor/prospect interest, areas of giving, etc. Maintain donor files (both physical and digital) Assist with gift processing as needed Maintain strict confidentiality regarding donor/prospect/alumni information and gifts Support Alumni Relations Officer and Alumni Relations activities (10%) Administrative support and office coordination (15%) Serve as first contact/representative for Development Office for all constituents General office coordination (greet guests, answer phones, distribute mail, office supplies, tech support/referral) Maintain internal calendar, plan staff and other meetings and agendas Supervise student workers Advancement Finances: (15%) Process various types of transactions in a timely manner, including procurement card expense reports, requisitions, deposits, employee travel reimbursements, and general ledger journal entry request forms Obtain financial data from Reporting Center, including monthly transaction lists, and file documentation Retrieve financial documentation when needed Keep current with and apprise colleagues of U-wide purchasing and travel policies, updates and requirements Responsible for reporting accuracy and completion of monthly reconciliation of transactions Assist Gift Accounting Specialist as needed Other Duties as Assigned Qualifications Essential knowledge, skills and abilities High School Diploma/GED and four years of related office and administrative experience / Training/education may be substituted for some of the years of experience.
